Email Attachments

What is an email attachment and when should you (or shouldn't you) use email attachments?

Why use Attachments?

Most email programs allow you to attach files to email messages. Most people use attachments to send things other than text, for example small pictures or graphs. This is helpful when a picture really is worth one thousand words, however there are a couple very important things to know about attachments.

Why Not To Send an Attachment

You must have the program on your computer the attachment was written in to see it. For example if you sent a Microsoft Word Document as an email attachment, the person who receives it must have a compatable version of Microsoft Word installed on their computer to open it.

Most Computer Viruses are sent as Email Attachments! If you do not know who sent you an attachment and/or are not expecting an attachment from that person do not open it!

There is a size limit for sending out email attachments. Email was never meant to send files back and forth, just short messages. If you want to send larger files use another file transfer method such as FTP. Most Instant Messaging programs include a File Transfer Program.

Alternative File Transfer Methods

  • FTP
  • Post the information on a web site
  • Post the information on a file server
  • Use hard media (A disk)
